How to import your menu in 3 clicks

Upload your Excel menu or add items manually. AI helps format photos and descriptions so your digital menu looks professional in minutes.

Step-by-step guide

Step 1 — Prepare your Excel file

Open your existing menu in Excel or Google Sheets. Create columns for Item Name, Category, Price (ETB), and Description. You do not need to follow a strict template — Cache's AI parser handles variations. Save as .xlsx.

Step 2 — Go to Menu → Import in your Admin dashboard

Log in to your Cache Admin dashboard. Navigate to Menu in the left sidebar, then click the "Import from Excel" button in the top right corner. A file picker will open.

Step 3 — Upload and review

Select your .xlsx file. Cache will parse it and show you a preview of all imported items grouped by category. Review any items flagged for review (usually items with unusual price formats), make corrections inline, and click "Confirm Import."

What happens next

Your menu is now live. QR codes for your tables and rooms already point to it. Guests who scan a code will see the imported menu immediately. You can edit any item, reorder categories, or add photos at any time from the Menu section.

Setting up QR codes for tables and rooms

Step-by-step guide

Step 1 — Go to Locations in your Admin dashboard

In Cache Admin, click "Locations" in the sidebar. You will see a list of all your tables, rooms, or counter positions. If you are setting up for the first time, click "Add Location" to create your first table or room.

Step 2 — Create your tables or rooms

Enter the location name (e.g. "Table 1", "Room 205", "Counter"). Choose the location type: Table, Room, or Counter. Assign it to the correct menu (for hotels with multiple outlets, you can assign different menus to different floors or areas).

Step 3 — Download and print the QR code

Click the QR icon next to any location. A print-ready QR code image will download as a PNG. Print it on a card, sticker, or tent sign. Place it on the table or in the room. The code is unique to that location and does not expire.

Testing your setup

Scan the QR code with your own phone. You should see your menu open immediately in the browser — no app prompt. Try placing a test order to confirm the full flow works: order appears in Admin, kitchen display updates, and payment processes correctly.

When does billing start?

Your Activation Trial is free until your venue completes its first 10 guest orders (or after a maximum of 60 days). No charge is made during the trial. Once you choose a plan, Cache charges the payment method you registered in Billing & subscription for the coming billing period.

What does the invoice include?

Your invoice shows your plan (Café: ETB 0 base + ETB 5/order capped at ETB 300/month; Restaurant: ETB 250 base + ETB 4/order capped at ETB 1,200/month; or Hotel: a flat monthly rate from ETB 1,500), the billing period, and the total amount charged. There are no platform commissions on guest payments — what guests pay goes directly to your account.

Where to find your invoices

Go to Admin → Settings → Billing. You will see a list of all past invoices with their dates and amounts. Click any invoice to download a PDF. You can also update your payment method from this screen.

What happens if a payment fails?

If a payment fails, Cache will notify you by email and retry after 3 days. Your service will continue during the grace period. If payment is not resolved within 7 days of the due date, your account will revert to a read-only state until the balance is cleared.
